Job Description

Key Responsibilities

Financial Leadership & Strategy
  • Provide strategic leadership across all financial activities for the portfolio, including budgeting, forecasting, reporting, and cash flow management.
  • Provide day-to-day leadership to the accounting team, setting priorities, standards, and workflows that scale across a growing property portfolio.
  • Support the Executive Team with financial analysis for new acquisitions, business opportunities, and portfolio expansion.
Monthly Financial Closing & Reporting
  • Oversee monthly closings for each property, generating accurate financial statements and board-ready reporting packages for property managers and boards.
  • Review and approve bank reconciliations, journal entries, and closed-period audit trails to ensure accuracy across the portfolio.
  • Prepare and/or oversee preparation of financial statements for multiple community associations, cooperatives, and condominiums simultaneously.
Accounting Operations Oversight
  • Oversee core accounting functions, including accounts payable, accounts receivable, payroll, and general ledger maintenance across the portfolio.
  • Lead, mentor, and manage accounting staff, fostering professional growth and ensuring a high-performing accounting department.
  • Maintain strong attention to detail and knowledge of accounting principles, general ledger management, and account reconciliations across the team.
Budgeting, Chargebacks & Special Assessments
  • Prepare annual budget templates and refine line items in collaboration with property managers, ensuring reserve contributions are adequate and budgets are loaded accurately into management software.
  • Verify that new common charges, maintenance increases, and special assessments are correctly calculated and applied.
  • Oversee the chargeback process for unit-specific expenses (e.g., plumbing, cleaning, or damage repairs), confirming approvals, posting to owner ledgers, and tracking collections.
Loan & Debt Administration
  • Direct loan administration for the portfolio, including monthly loan payments, amortization schedules, loan-funded project assessments, early payoffs, and accurate allocation of principal and interest.
  • Lender reporting requirements & compliance
Bank & Cash Management
  • Manage bank relationships and cash positions across all association accounts, including CDs and investment accounts, in coordination with accounting staff.
  • Oversee the reconciliation process, investigating discrepancies and ensuring monthly bank reconciliations are completed and finalized within management software.
  • Maintain strong relationships with banks, auditors, and other financial partners on behalf of the firm.
Audit, Tax & Compliance
  • Direct the annual audit process and serve as the primary liaison with external auditors and CPA firms for annual audits and tax filings.
  • Coordinate preparation of annual Income & Expense reports and auditor adjustments.
  • Establish and maintain robust internal controls, fiscal policies, and best practices to ensure compliance with GAAP standards, association bylaws, and regulatory requirements.
Board, Client & Interdepartmental Relations
  • Work directly with boards of directors, specifically treasurers, on financial issues, budget planning, and reserve strategy.
  • Serve as liaison between community/property association managers and outside firms for tax preparation, audit, and compliance matters.
  • Participate in onboarding and initial setup of new client properties, establishing accounting structures and reporting cadences from day one.

Qualifications

  • Bachelor's degree required in Accounting, Finance, or a related field.
  • 5–7 years of progressive accounting experience, including at least 3 years in a leadership or supervisory role.
  • Prior experience in property management, cooperative/condominium accounting, or real estate accounting required; familiarity with AICPA Fund Accounting methods preferred.
  • Proficiency with property management accounting platforms such as MRI, Vantaca, AppFolio or other comparable management software.
  • Strong proficiency in Microsoft Office Suite, particularly Excel and Outlook.
  • Solid background in audit coordination, internal controls, and regulatory compliance.
